Terms of Service

What we promise while you use QRFlow, what we expect from you, and what happens when an invoice goes unpaid.

Effective from: 1 September 2026

1. What the service is

QRFlow is a web service that records attendance by having employees scan a QR code on the wall with their own phone. Optional modules cover cleaning, inspection, visitors, assets, shift schedules and announcements.

It runs in the browser; no separate application has to be installed.

2. Account and users

Whoever registers the workspace becomes its owner, adds the other users and assigns their roles.

Keeping the password and any two-factor device safe is the user's own responsibility. If you believe your account is being used without permission, tell us immediately.

3. Your obligations

Telling your employees that their attendance, scan time and — where a module requires it — their location and photo are recorded is your responsibility.

The service must not be used for unlawful purposes, to reach another company's account, or to load the system deliberately.

4. Trial, payment and subscription

A new workspace starts with a 30-day trial. No card details are required.

Billing is by invoice and bank transfer; there is no online payment gateway yet.

An unpaid subscription does not close the account at once: first a notice, then new records are stopped, then the admin screens close. Through every one of those stages the QR codes on the wall keep working and exporting your data stays open.

5. The data is yours

Everything in your workspace belongs to you. You can export it at any time to Excel, CSV and PDF.

Export is never switched off — not even while an invoice is late: you paid for that period, and the data is yours.

6. Availability and changes

We work to keep the service running, but we do not give an uptime guarantee (SLA). Planned maintenance is announced in advance.

The product gains new capabilities and some existing ones change. We tell you by email or inside the panel about anything that matters to you.

7. Cancellation and closing the account

You can stop the subscription at any time. We recommend exporting your data before the account closes.

We may suspend an account that seriously breaches these terms; if that happens we state the reason in writing and give you time to export your data.

8. When these terms change

The effective date on this page is updated whenever this text changes. For anything significant we email the workspace owner.

The version of the text you accepted at signup is stored with your account.
